Which documents does a school trip require?

On the vehicle side: the D2 operating licence, a valid roadworthiness inspection, a comprehensive insurance policy, mandatory per-seat personal accident cover, and the driver's SRC certificate, psychotechnical report and criminal record check. Filing the U-ETDS passenger declaration before departure is a legal requirement. On the school side: approval from the provincial or district directorate of national education, plus signed parental consent forms. Those two are the school's responsibility — but we supply the vehicle and driver documents the approval application asks for, ready to submit, so the application is not delayed by missing paperwork.

Our safety practices on the day of the trip

A pre-departure vehicle checklist is completed: tyres, brakes, door sensor, air conditioning, fire extinguisher and first-aid kit are each ticked off. Before setting off, the driver briefs the students on seat belts and emergency exits. We stop every two and a half to three hours, and headcounts are taken with the supervising teacher at each break. On long-distance programmes we assign a second driver to eliminate fatigue risk. On the return leg the arrival time is reported to the school and, if requested, to the parents' group.

Yes. Every seat in the vehicles we use for school trips has a seat belt as standard, and each one is verified on the pre-departure checklist. A vehicle with any seat lacking a belt is not dispatched on a school trip.

Are drivers security-screened?

Only drivers holding an SRC certificate, a valid psychotechnical report and a clean criminal record check are assigned to school trips. Current copies of these documents are sent to the school before departure, and if the school prefers, we can keep the same driver assigned for the whole term.

What happens to the deposit if the trip is cancelled?

For school trips, if the cancellation is caused by weather, a declared public holiday or a directive from the education authority, the deposit is refunded or carried over to a new date. For other cancellations our general terms apply: full refund if cancelled more than 48 hours in advance, 50% deduction between 24 and 48 hours.
