Staff transport is an operations-planning job more than a transport job. A well-designed shuttle shortens the time between an employee leaving home and clocking in; a badly designed one produces delays and complaints every morning. We always start from data: where staff live, shift times and the current pain points. From that we derive the route and stop plan and the number and type of vehicles. We then issue a quote with a fixed monthly fee based on distance, number of runs and shifts.

How we plan the routes

First we cluster staff addresses by neighbourhood. The goal is not door-to-door pick-up but a stop network where no employee walks more than seven or eight minutes. That shortens total run time and lets one vehicle serve more people. We then time each route backwards from the shift: aiming to be at the gate ten minutes before start, with a 25-30% buffer for city traffic. The first two weeks after launch are an observation period; stop order and departure times are revised against the arrival times actually recorded.

Contract, insurance and legal obligations

Staff transport runs under a monthly or annual framework contract. The contract explicitly covers vehicle age, insurance scope, guaranteed backup vehicles, driver replacement rules and the terms that apply in case of delay — so service quality is tied to a document, not to a person. On the legal side, the D2 operating licence, roadworthiness inspection, comprehensive insurance and mandatory per-seat accident cover, plus the drivers' SRC and psychotechnical certificates, are our responsibility; the pre-departure U-ETDS declarations are also filed by us. Current copies of these documents are sent to your HR department periodically, without you having to ask.

Frequently asked questions about Employee Shuttle Service

Can routes be reorganised if shift times change?

Yes. If you notify us at least seven days in advance, routes and departure times are replanned at no extra charge. If the change permanently increases the number of vehicles or total distance, the monthly fee is recalculated and submitted to you in writing for approval.

If a vehicle breaks down, how do staff get to work?

The contract includes a guaranteed backup vehicle. If a breakdown occurs, our operations team dispatches the nearest spare and immediately informs both you and the route supervisor about the expected delay. Because every vehicle is our own, we can substitute quickly without depending on an outside operator.

What is the minimum group size for a shuttle?

From about 20-25 people on a single route, a 27-seat midibus already runs efficiently. For smaller teams the 14-seat minibus takes over; we can also combine the shared route of several companies in the same industrial zone into a cost-shared solution.
